Job description JVM Ltd. is an independent consultancy company based in London which specialises in professional and management consultancy advice and services to the public and private sectors. The company seeks to recruit an experienced Office Manager to be the linchpin of the organisation and support our consultants in developing bids and in working with existing clients. You will be involved in all aspects of the day-to-day running of the company reporting to the Directors. The role is wide ranging and encompasses setting up and maintaining systems and procedures, including management information systems, managing budgets, liaison with clients, co-ordinating responses to tenders and managing associates and key partner/supplier relationships.

You will have excellent interpersonal skills, be able to work on your own initiative, have a good understanding of the issues a small consultancy is likely to face and the ability and willingness to work flexible hours and to travel.

Qualifications:- A relevant business related qualification to at least HND level is desirable.

KEY RESPONSIBILTIES AND ACCOUNTABILITIES

1. Develop and review policies, systems and procedures for all aspects of the business, in consultation with the company’s directors and with staff members, associates and partner organisations as appropriate.

2. Co-ordinate & supervise the administration of assignments, including management of both communication and resources – for example associates and key partner organisations

3. Prepare & analyse reports and presentations for current and potential clients.

4. Manage the production of proposals, including co-ordination of communications and assembly; controlling quality of presentation and ensuring timely submission.

5. Research & analyse any potential business opportunities via government publications or internet (i.e. TED, Supply2gov, council websites, etc).

6. Complete pre-qualification questionnaires and expressions of interest for potential new business opportunities in co-operation with relevant consultants

7. Develop and manage budgets; financial transactions;; process and review specialised records together with the company’s accountant.

8. Maintain and develop the company’s IT systems and databases, including a computerised client and prospect database, appropriate finance and performance monitoring systems and the company’s website.

9. Undertake or commission appropriate marketing and PR activities to promote the company and its services – for example, business development events, brochures.

10. Put in place appropriate arrangements to secure and manage any required supplies and services – for example, PR and marketing services/materials, IT support.

11. Act as office Health and Safety Representative and undertake risk assessments

Experience required:
• At least 2 years experience of managing HR, IT, finance systems and of setting up and managing databases in a relevant environment
• Knowledge and understanding of local government and the public sector generally
• Knowledge and understanding of all aspects of running a small business
• Understanding of and commitment to equality and diversity issues
• Previous work experience in consultancy environment desirable but not essential
