Job description Our client, a leading international legal practice offer full business law services from offices across Europe, the Middle East and Asia. They are strong in corporate finance; financial institutions; energy and infrastructure; transport; and technology.

Although hours are on a shift pattern basis you must be able to work between 7.30am – 7.00pm Tuesday until Friday. The right candidate must maintain the professional image and reputation of the company. They must work as a team to ensure the highest standards of service and support are delivered to clients, suppliers and internal staff in all front of house operations.

The main responsibilities within this role are as follows;

• Ensure reception and conference rooms are always clean, tidy, fully equipped and ready for use. Provide snag lists of faults and repairs for timely remedial action.
• Receive clients and suppliers and store coats and luggage as required. Contact hosts immediately and escort clients to correct conference room.
• Liaise with Catering, Maintenance and Cleaning to ensure the overall service is timely and seamless.
• Answer telephone calls, deliver messages and faxes to meetings as required. Assist with booking taxis and change airline tickets as necessary.
• Analyse contacts (calls and e mails) and work with others to reduce unnecessary contact activity.
• Provide a second level of technical support as and when required and maintain a good working knowledge of the Data craft booking system.
• Provide the 24 hour service departments with late meeting data. Check the following days bookings and print necessary reports for next days planning.

How to apply Knowledge and Skills required:

• Educated to GCSE level or equivalent with excellent communication and interpersonal skills.
• Knowledge of Windows, Front Page and Data Craft (in house or external training can be provided)
• Able to challenge the process to identify new ways of doing things
• Previous experience in an up-market service or hospitality environment ideal.
• Able to deal effectively with people under pressure and manage unreasonable demands.
• Able to adapt to different priorities quickly and maintain good attention to detail to ensure image and standards are maintained.
