| Job description | Job Title: IT & Administrative Assistant
Location: Royal London College, Barking IG11 Reporting to: Operations Manager/Registrar Position: Permanent, Full Time Salary: Negotiable Closing deadline for applications: Monday 15th August 2011 Job Summary: Royal London College is seeking enthusiastic and motivated IT & Admin officer will monitor and maintain the computer systems and networks and the administration side of the college. They may install and configure computer systems, diagnose hardware/software faults and solve technical and applications problems, either over the phone or in person. And also to maintain files and database, office operation, communication between staffs and management and immigration will be a mandatory task. Roles/Responsibilities: Reporting to the Head of Administration, the IT & Admin Officer will support a range of activities to support the smooth running of the college. The role will involve: installing and configuring computer hardware operating systems and applications; monitoring and maintaining computer systems and networks; monitoring Immigration rules and news and maintain college website accordingly; talking staff/clients through a series of actions, either face to face or over the telephone; troubleshooting system and network problems and diagnosing and solving hardware/software faults; replacing parts as required; providing support, including procedural documentation; following diagrams and written instructions to repair a fault or set up a system; supporting the roll-out of new applications; setting up new users’ accounts and profiles and dealing with password issues; responding within agreed time limits to call-outs; working continuously on a task until completion (or referral to third parties, if appropriate); prioritizing and managing many open cases at one time; rapidly establishing a good working relationship with customers and other professionals (e.g., software developers); testing and evaluating new technology; conducting electrical safety checks on computer equipment. Provides guidance to college administrative and management staff on all phases of budget development, preparation, monitoring and management; assist in projection of budget needs and provides data on current and prior years expenditures; assists the Principle in strategic planning for the college. To arrange for writing minutes of the meetings and take follow up action on the proceeding of the committee of Management. Ensure proper maintenance of personal files, student’s files and register and keep all data safe. Maintains an effective oral and written communications process between college administrators and their staff and the Office of the Dean regarding fiscal and other matters. Acts as a liaison between the college, accounting, purchasing, and payroll departments; ensures college compliance with University policy and procedures. Acts as a liaison with Human Resource Services to ensure that proper procedures are followed during the Faculty and Staff hiring process. Administers processes for inventory control, disbursements, and staff continuing education programs. Prepares or supervises the preparation of financial and statistical reports. Evaluates administration of fiscal, inventory, and other systems developed to achieve institutional goals regarding internal controls, overall administrative efficiency, and fiscal policy compliance. Develops and implements procedures within the college that support internal control regarding all phases of fiscal management including, but not limited to: budget preparation, assets control, expense authorization, and reconciliation of college accounts. Complies with all State and College Policies. Personal Qualities: Candidates will need to show evidence of the following skills and personal qualities: Good oral and written communication skills; Excellent interpersonal and negotiating skills; Good time management and organizational skills; Leadership ability; Confidence and resilience; Initiative; Problem-solving skills; Project management ability; Excellent IT skills. Teaching skills. Essential: Education and Experience: Bachelor’s degree in business administration, public administration, or other related area; Proper IT qualification is necessary. Higher education or governmental experience preferred. Candidates will also need to demonstrate good team working and management skills. Taking on a volunteer project or managing a team of volunteers is a good way of acquiring these skills, particularly if you have not had the opportunity to apply them in a work environment. A familiarity with legislation in the areas of employment, equality and diversity, and data protection can also be useful.
