Job title Executive assistant to CEO
Job description Details of position:
Work closely with to the CEO to provide full organizational and administrative support. In addition provide administrative support to HQ office and board of directors including CFO, Legal Counsel and the CEO.

Responsibilities:
• Work as the first point of contact of CEO
• Liaising with CEO’s contacts, clients, VIPs
• Manage all forms of correspondence and communication on behalf of CEO :screening telephone calls, enquiries and requests, responding to emails, reviewing documentation etc
• Organizing and maintaining agenda and making appointments
• Dealing with all communications incoming to the CEO (email, fax, memos, etc.)
• Producing documents, briefing papers, reports and presentations
• Organizing and attending meetings and ensuring that the CEO is well-prepared for meetings
• Arranging travel and accommodation and, occasionally, travelling with the CEO to provide general assistance during business trips
• Serve as an assistant with personal errands of the CEO including paying services, planning personal & family activities, etc.
• Serve as an Smartmatic ambassador at VIP Events where he/she assist on behalf of the CEO or accompanying him
• Manage excellent Public Relations that are relevant for the company
• Serve as an Office Manager to guarantee the right function of the office
• Available during regular business hours, evenings and/or weekends, on occasion/as needed to provide support and assistance to the CEO.

Work Experience:
• Relevant experience supporting at the executive level
• Experience scheduling travel arrangements for management
• Experience assisting management in creating PowerPoint presentations
• Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
• Fluent in English. Spanish well desirable.

Other requirements: Extensive knowledge of their organization. Knowing the key people (both external and internal) and understand the organization's aims and objectives to proactively support the CEO in his functions. This person will be dealing with high profile clients, board members and directors so must be articulate, polished and highly professional at all times.
